How to Back Up Data in Windows

Five practical ways to protect files, settings, disks and application data—plus a simple strategy for choosing the right one.

A reliable backup is the copy you can restore after accidental deletion, drive failure, malware, theft or a failed Windows update. Windows includes several useful tools, but each protects a different part of your PC.

This guide starts with the simplest options and ends with a more flexible approach for automated file, disk and application-data backups. You can use one method or combine several for stronger protection.

1. Decide what you need to protect

Before choosing a tool, list the data you would need after a loss. Most Windows PCs contain several different backup targets:

  • Personal files: Documents, photos, videos, projects, downloads and archives.
  • Frequently changing work: Files that need versions so you can recover yesterday’s copy after an overwrite or unwanted edit.
  • Application data: Email archives, browser profiles, game saves and other program-specific folders.
  • Windows settings: Preferences, Wi-Fi details and selected app information tied to your Microsoft account.
  • The whole disk: Windows, installed programs, settings and files captured together in an image for disaster recovery.

No single built-in method is ideal for every target. The best plan often combines file-level backups for everyday recovery with an occasional disk image for a larger failure.

2. Copy important files to an external drive

The simplest backup is a manual copy to a USB flash drive, external hard drive or SSD. It needs no special software and works well for a small, clearly organized set of files.

  1. Connect the external drive and open File Explorer.
  2. Create a dated folder such as Backup-2026-08-06.
  3. Copy your Documents, Pictures, Desktop and any project folders into it.
  4. Open several files from the backup to verify the copy.
  5. Eject the drive safely and disconnect it when finished.

Best for: A quick one-time copy before travel, repair or a major change.

Limitations: Manual copies are easy to forget, usually provide no schedule or version history, and a drive left connected can be affected by malware, power problems or theft.

3. Use Windows Backup and OneDrive

Windows Backup can save selected user folders to OneDrive and remember many Windows settings, preferences and app information associated with a personal Microsoft account. Synced files are then available on other signed-in devices.

  1. Open Start, search for Windows Backup and launch it.
  2. Sign in with the personal Microsoft account you want to use.
  3. Expand Folders and enable the available folders you want protected.
  4. Review Apps, Settings and Credentials, then switch on the items you want remembered.
  5. Select Back up and check the status after synchronization finishes.

Best for: Easy cloud access, moving to a new PC and protecting common user folders.

Limitations: It depends on a Microsoft account, an internet connection and available OneDrive storage. Synchronization can also reproduce deletions or changes, so keep another independent backup for critical data.

4. Turn on File History

File History automatically saves versions of personal files to an external drive or network location. It is useful when you need to recover a deleted file or return to an earlier version after an unwanted change.

  1. Connect an external drive or prepare a network location.
  2. Open Control Panel, then System and Security.
  3. Choose Save backup copies of your files with File History.
  4. Select a drive if necessary, then choose Turn on.
  5. Use Advanced settings and Exclude folders to adjust frequency, retention and coverage.

Best for: Continuous versioned protection of documents, pictures, videos, desktop files and folders included in libraries.

Limitations: File History is primarily for personal files, not a full image of Windows and installed applications. Confirm that every important folder is actually included.

5. Create a system image

The legacy Backup and Restore control-panel tool can create a system image: a snapshot of selected drives that can help recover the PC after a serious disk or Windows failure.

  1. Connect a large external drive or prepare a network destination.
  2. Open Control Panel and search for Backup and Restore.
  3. Choose Create a system image.
  4. Select the destination and the drives to include.
  5. Start the image and keep recovery media or Windows installation media available.

Best for: A periodic full-system snapshot, especially before replacing a drive or making a major system change.

Limitations: Images can be large, slower to create and less convenient for restoring one frequently changing file. Keep separate, more frequent file backups as well.

6. Know what is not a complete backup

Several useful Windows features can help with recovery, but they should not be mistaken for an independent backup strategy:

  • Recycle Bin: It may recover recently deleted local files, but it can be emptied and does not protect against disk failure.
  • Restore points: System Restore focuses on system files, drivers and settings; it is not a backup of all personal data.
  • A second folder on the same drive: Both copies are lost if that drive fails, is encrypted by ransomware or is stolen.
  • Cloud sync alone: Sync is convenient, but deletions, corruption or unwanted edits may synchronize too. Version history helps, but an independent copy adds safety.

For many home and small-office PCs, a sensible combination is frequent versioned file backups, a separate off-site or cloud copy, and an occasional disk image.

8. Follow the 3-2-1 backup rule

A practical target is to keep three copies of important data: the working copy plus two backups, stored on at least two different types of media, with one copy kept off-site. For example, keep files on the PC, an automated backup on an external drive, and another copy on a network or cloud destination.

Important: Do not leave every backup permanently connected. Disconnect or otherwise isolate at least one copy, and test a restore regularly. A backup is only useful when it can be read and restored.
